Job Description
Receptionist/Secretary

Pay Scale: $13.50-$14.00 per hour + Benefit package
Hours: 8:00 a.m. - 5:00 p.m., Monday – Friday. Overtime and Saturdays required during tax season.

Position Description: The Front Desk is the smiling face of our company and must provide excellent service. He/She is responsible for a variety of tasks throughout the month including but not limited to the following and can change at anytime:

Administrative Duties - 60%

Answers and Screens 100% of the incoming calls.

Receives walk-in customers with a smile and superior customer service.

Prepares routine and advanced correspondence including letter and memorandums.

Serve as an assistant to the owner of the company.

Set up new customers and maintain existing customers’ electronic files.

Assemble tax returns and call clients when returns are ready.

Maintains and orders office supplies.

Handles travel accommodations, support services, purchasing, mail distribution and messenger services.

Generates needed reports, handles multiple projects and various other administrative items.


Accounts Receivable - 30%

Answers customer billing questions.

Post accounts receivable data as received.

Create monthly accounts receivable reports.

Prepare monthly statements and automatic withdrawals for our customers.

Take daily deposit and mail to the bank and the post office.

Misc. Duties 10% 

Skill Requirements
Ability to plan, organize, prioritize and complete work assignments in a timely and efficient manner.

Ability to function efficiently with constant interruptions and changing priorities.

Ability to maintain effective and friendly working relationships with employees and our customers.

Must have good verbal and written communication skills and be able to multi task.

Must work well under pressure/stress, have a high level of honesty, integrity and willingness to uphold company values.

Must be able to deal with difficult people and situations.

Knowledge of English usage, spelling, grammar and punctuation.

Must be detail oriented and able to rely on experience and judgment to plan and accomplish goals.

Must be able to think outside the box and work independently.

Must be friendly, positive, motivated and a quick learner.

Must be able to take direction from multiple sources.

Computers skills are a must including Outlook, Word and Excel.

Knowledge of and general ability to operate typical office equipment, including 10 key by touch.

Some college is preferred but not required.

This position does require a high school diploma with 1 year experience in an office setting.
