Job Description
The Communications and Development Assistant provides support for the Communications and Development Specialists and the Executive Director. The Communications and Development Assistant assists in developing communication materials both visual and print, tracking donor activity, grant research, grant writing, reporting and submittal, event planning and implementation, and other aspects of marketing and development.

The position requires active participation in the organization’s day-to-day operations, responsibility for completion of assignments received from the Communications and Development Specialists, and interacting effectively with other key organization staff and organizational supporters. Decisions may concern the appropriate application and interpretation of policies and procedures to non-routine matters and will include sensitive donor and financial information. Skill Requirements
MINIMUM QUALIFICATIONS
Three years experience performing executive level support with preference given for development and fund-raising support for a public or private organization. Qualifying experience would involve strong computer skills with design software and Microsoft Office Suite for creating documents, mail merges, spreadsheets and the design and production of collateral materials; donor research and tracking; implementation and maintenance of donor and contacts databases; data collection and analysis as assigned; grants research; grant application preparation; project evaluation and/or analysis; interpretation and application of laws, rules, and policies.

DUTIES AND RESPONSIBILITIES
Employees in this classification report to the Communications and Development Specialists. This position performs a variety of activities on a wide geographic basis and interacts with a range of Estuary Partnership constituents and partners, including Board members, partners, agency or municipal staff, the Governor's offices, the public, the press, the business community, donors and supporters, elected officials and their staffs and staff from federal agencies. This position participates as part of the Communications and Development Team in the planning, creation and implementation of communications and development materials and activities and provides general administrative support as assigned.
 Participate in organization development team meetings to discuss goals and objectives and help resolve issues.
 Maintain accurate donor information and prepare donor analysis and reports as requested.
 Log in daily receipts in accordance with Finance Procedures, tracking in database, and ensuring tax acknowledgement letters are sent to donors.
 Assist with research and tracking of potential funding sources, including grants that match Estuary Partnership goals and maintain a calendar of grant deadlines and complete application files both electronically and on paper.
 Help coordinate preparation of final grant applications to ensure grant package includes required materials and meets grantors delivery conditions.
 Help design and develop collateral materials.
 Track annual contributors ensuring renewal invoices and personal thank you letters are sent.
 Maintain organization website as directed by Executive Director, Director of Stewardship and Technical Programs, Communications and Development Specialists.
 Assist and coordinate preparation and distribution of regular communication, including the E-update, newsletters, annual reports and print projects.
 Assist with coordination, scheduling, communication and implementation of organization events.
 Maintain display and inventory of organization informational and promotional materials.
 Participate in coordinating and scheduling regular development contacts.
 Coordinate with the Assistant to the Director and all program managers to update and maintain organization contacts database.
 Assist with the organization and maintenance of corporate files.
 Complete special projects as assigned.
